Export Documents Checklist for Indian Exporters

Accurate documentation is the backbone of a smooth export. Missing or inconsistent paperwork is one of the most common causes of customs holds and delays. This checklist covers the core documents most Indian exporters need.
Core commercial documents
- Commercial invoice: describes the goods, value, terms of sale and parties.
- Packing list: itemises contents, quantities, weights and dimensions.
- Purchase order or sales contract: underpins the commercial terms.
Transport & customs documents
- Shipping Bill: the primary export declaration filed with customs.
- Bill of lading (sea) or air waybill (air): the carrier’s transport document.
- Certificate of origin: where a trade agreement or buyer requires it.
- Any product-specific licences, permits or inspection certificates.
Registrations to have in place
- IEC (Importer Exporter Code) for cross-border trade.
- GSTIN for tax and refund/credit purposes.
- AD code registration with the port/customs for banking.
Tips to avoid documentation delays
Keep details consistent across every document — names, addresses, quantities, values and HS codes should match exactly. Reference the agreed Incoterm precisely, and have a customs broker review the file before filing. Small inconsistencies are the most common reason shipments get held.
